KSA Presiding Officer Duties

President:       The office of presidency carries the responsibilities of hard work, dedication, communication, and determination.

General Responsibilities are:

  1. To know the goals of your group, the constitution of the student council, the extent of your responsibilities, and the limits of your authority.
  2. To have a good attitude about yourself and others, about groups, and the ability to stimulate group spirit.
  3. To organize the group, assign jobs, and evaluate activities.
  4. To use the skills of leading discussions, decision-making, directing communications and publications.
  5. To preside at meetings and handle them in an orderly and democratic matter.
  6. To select your committees and chairmen who will strive to develop the purposes and goals of the group.
  7. To evaluate the quality of work accomplished, the methods and procedures, and the behaviors of the group.
  8. To understand that all persons need the chance to try, to fail, and to learn while doing.
  9. To set up a timeline with deadline dates for the Student Council and KSA to follow.

 

Specific Duties and Responsibilities are:

  1. To preside over all meetings of the Student Council.
  2. To appoint all committees.
  3. To vote only in case of a tie.
  4. To execute policies established by the Student Council and KSA.
  5. To represent the Student Council and KSA at public occasions.
  6. To act as coordinator and expediter of all group activities and functions.
  7. To supervise and coordinate the work of all committees of the group.
  8. To develop and maintain an agenda for every meeting.
  9. To be part of every project no matter how small.
  10. To act as the “linker” between the principal, KSA Advisor, and the members of the KSA.
  11. To be a representative of the KSA on the PTSA Executive Board and/or the SCC Board Meetings.
  12. To communicate with the KSA Executive Council and the Student Council for suggestions for any project and/or activity.
  13. To enter office with and maintain a minimum cumulative GPA of 3.0.
  14. To communicate and check all ideas, plans, project, and/or activities with the KSA Advisor(s).

 

KSA Secretary Officer Duties

Secretary:       A good secretary is vital to the growth and progress of KSA.  The secretary is the official keeper of all records and should be able to speak and write clearly.

Specific Duties and Responsibilities are:

  1. To keep a designated folder or binder with all KSA papers.
  2. To keep reports, file and answer all correspondence.
  3. To keep a file of clippings and relevant documents.
  4. To either write notes or assign members of KSA to write notes of courtesy, thank you, congratulations, etc.
  5. To make due dates of when all notes of courtesy and thank you letters are due.
  6. To check all notes or letters written on behalf of KSA and submit them to the KSA Advisor(s) for final approval.
  7. To keep copies of activity calendars and special events.
  8. To keep a timeline of dates and events.
  9. Maintain an attendance record.
  10. Carry on all correspondence necessary to the KSA.

 

  1. Before the meeting, he/she will:
    1. Notify members of the meeting.
    2. Assist in preparation for the meeting’s agenda.
    3. Have the minutes of the previous meetings neatly typed and circulated.
    4. Take notes of what needs to be discussed.
  2. During the meeting he/she will:
    1. Take attendance and keep permanent records.
    2. Take complete minutes.
    3. Read minutes (if they have not been previously circulated).
    4. Assist the chairman.
  1. After the meeting he/she will:
    1. Rewrite and type the minutes. (corrections are made in the margin at the next meeting)
    2. Have all minutes circulated.
    3. Check with absentees.
    4. File reports.
    5. Make any necessary publicity reports.
  1. To enter office with and maintain a minimum cumulative GPA of 3.0.

 

KSA Treasury Officer Duties

Treasurer:      The Treasurer must keep KSA’s financial records and draw up its income and expenditure plan.  The Treasurer should meet with the account clerk to discuss the basic philosophy and procedures regarding student funds.

 

Specific Duties and Responsibilities are:

  1. To prepare a budget, (usually with assistance of a committee), for council-administration approval.
  1. To keep an accurate and complete record of all money collected and spent.
  1. To present reports regularly to council and administration.
  1. To work closely with the school’s account clerk.
  1. To prepare an annual fiscal report.
  1. To expedite requests for services, equipment, supplies, etc. as per procedures established by the school.
  1. To assign flag duties each week.
  1. To be responsible for KSA announcements on CCTV with regard to upcoming events, activities, and/or information.
  1. To enter office with and maintain a minimum cumulative GPA of 3.0.

KSA Homeroom Representative Duties

Representative:    A Homeroom Representative is elected democratically by the students in each homeroom.  Students should choose a primary representative as well as an alternate representative in case the primary representative is not able to carry out his/her responsibilities.

Specific Duties and Responsibilities are:

  1. To attend all Student Council and KSA meetings.
  2. To listen to the daily bulletin and watch CCTV on a regular basis so as to get all KSA and Student Council news, announcements, and information.
  3. To be willing to speak on behalf of their homeroom and present their thoughts and ideas for school activities.
  4. To be an example for their peers through their conduct, their grades, and their model of school spirit.
  5. To report all information discussed in Student Council and KSA meetings to their homeroom during the AA period on the day after the meeting.
  6. To communicate effectively with their homeroom.
  7. To bring forth any questions or concerns their homeroom might have about Student Council, KSA, or school activities during Student Council and KSA meetings.
  8. To vote on Student Council and KSA matters and activities on behalf of the students in their homeroom.

KSA Committee Member Duties

Committee Member:    A Committee Member is selected by the KSA Advisor(s) or can be recommended by a staff or faculty member of Kawananakoa Middle School.  Students interested in being a committee member may also approach the KSA Advisor and ask for an interview.  Committee Members will be part of the KSA Homeroom.

Specific Duties and Responsibilities are:

  1. To assist the KSA Officers in their KSA responsibilities.
  1. To represent the KSA Executive Board in place of the KSA Officers in the event that none of the officers are available.
  1. To assist the KSA Advisor(s).
  1. To attend all Student Council and KSA meetings.
  1. To be an example for their peers through their conduct, their grades, and their model of school spirit.
  1. To volunteer to be part of KSA and/or Student Council committees.
  1. To support the Student Council and KSA in all of their activities.
  1. To enter KSA with and maintain a minimum cumulative GPA of 3.0.
